Keypad, keycard, fob, or phone: choosing your credential

Every access control system comes down to one question: what does a person present at the door? The reader and the credential you choose decide what the system costs, how much of your time it takes to run, and how it behaves the day somebody quits or loses something.

Keypad and PIN code. A keypad reader takes a numeric code instead of a card, so there is nothing for staff to carry and nothing to replace when it goes missing. Keypad access control is the least expensive way to put a door under control, and it suits back doors, stock rooms, server closets, and small offices where the same few people come and go. The tradeoff is that codes get shared, so I set up a separate code for each person rather than one house code. That keeps the entry log meaningful and lets me switch off one person without reissuing codes to everybody else.

Keycard and fob. Cards and fobs are the workhorse for offices and buildings with steady turnover. Each one is unique, so revoking a former employee takes seconds and nobody else is disturbed. Cards can double as photo ID where you want that, and fobs sit on a keyring for people who would rather not carry a wallet card.

Smartphone credential. The phone becomes the key over Bluetooth or NFC. There is no plastic to buy or reissue, and you can grant a new hire access before their first day. This works best where your team already carries company-managed phones and nobody minds installing an app.

Biometric. A fingerprint or face reader ties entry to the person rather than to something they carry, which matters for a pharmacy room, a cash room, or anywhere a shared code would defeat the purpose.

Most Westchester County buildings I work in end up mixing these. A keypad on the rear service door, keycards for the main entrance, and a biometric reader on the one room that needs it is a common and sensible combination, and a single controller runs all three. The credential decides what happens at the door. The system decides what happens everywhere else: where the permissions live, who is able to change them, and what you can see after the fact. Networked, one building. Every reader wires back to a central controller and one screen governs the whole building. Add a person once and they work on every door they are entitled to; revoke them once and they work on none. You get a single audit trail across all doors, schedules that lock the front entrance at closing time, and alerts when a door is held open. This is where most Westchester offices, medical suites and co-working spaces land.

Cloud-managed, one or many sites. The controllers stay in the building but the management moves to a browser, so you can admit a contractor or lock a door without being on site. It suits property managers running several addresses, businesses with more than one location in the county, and any owner who travels. It adds an ongoing subscription that standalone and local-network systems do not have.
